Every AI specialist in Accelimate AI has one job, a set limit on how much it may do without asking, and a fixed list of what it can reach. What it cannot reach, it cannot change. That list is on each card below, because it is the part that lets you trust the rest.
HOW MUCH IT DOES ON ITS OWN
You set the level. Each role has a ceiling.
Three levels, the same for every specialist. You choose where each one sits, up to the ceiling its role allows, and you can change it any time.
Suggests only
Reads and answers, and suggests changes. It never makes a change itself.
Drafts for your approval
Prepares every change and waits for a person to confirm it.
Acts within its limits
Makes drafts and routine record changes on its own. Anything it sends to a customer or anyone outside, or that charges or refunds money, still needs every detail settled and a person to confirm it.
Managed by the platform means we set the role so it stays accurate and safe. You can turn the Accountant and HR on or off, but not rewrite what they do.
THE LINEUP
Who does what, and what each one leaves alone
STANDARD ROLE
Receptionist
Answers calls, chats and texts, captures leads and books meetings.
On its own: Answers visitors directly in the conversation. A visitor's own requests, like booking a time, leaving a message or asking for a person, are always handled.
Will not touch: It can create a lead, book a time and take a message. It cannot edit your website, change an existing deal, send an invoice or run a campaign.
Before: A question sent at 9pm waits until someone opens the inbox on Monday.
With it: The visitor gets an answer from what you have told it about the business, and the booking or the message lands in your CRM.
Runs on the AI Receptionist add-on.
STANDARD ROLE
Sales
Keeps the pipeline moving: leads, deals, follow-ups and next steps.
On its own: Prepares every change and waits for a person to confirm it. You can raise it to act on its own for routine record changes.
Will not touch: No invoices, no payments, no website, no email campaigns. It works in contacts, companies, leads and deals.
Before: A deal goes quiet for three weeks and nobody notices until the quarter ends.
With it: Ask it to log a call on that deal and it also proposes the next step and a close date, or recommends marking it lost.
STANDARD ROLE
Marketing
Drafts content and campaigns and keeps a steady publishing cadence.
On its own: Prepares every change and waits for a person to confirm it. That is as far as this role goes.
Will not touch: It cannot change a deal, touch an invoice or edit your books. It works in posts, campaigns, lists and analytics.
Before: "Send it to everyone" goes out to the whole list with no clear next step for the reader.
With it: Before any send it checks which list, how many recipients and what the call to action is, and suggests a series instead of a one-off.
STANDARD ROLE
Web
Watches site speed, search visibility and publishing health.
On its own: Prepares every change and waits for a person to confirm it. That is as far as this role goes.
Will not touch: It does not touch your customers, your pipeline or your money. It works in page speed, search reports, sitemaps and publishing.
Before: A slow page, or a site search engines are not indexing, goes unseen for months.
With it: Around any change it checks page speed and search status, and reports what actually moved.
STANDARD ROLE
Designer
Reviews how your site looks and recommends concrete design changes.
On its own: Suggests only. It never makes a change itself. That is as far as this role goes.
Will not touch: It changes nothing. Its recommendations go through the normal draft and publish steps, so every change stays reviewable.
Before: "The site feels dated," with no idea what to do about it.
With it: Named fonts and weights, color values and a spacing scale, starting with the list of what already works and should stay.
STANDARD ROLE
IT
Triages support requests and keeps response times on track.
On its own: Prepares every change and waits for a person to confirm it. You can raise it to act on its own for routine record changes.
Will not touch: It cannot invoice, touch your books or edit your website. It works in support requests, response-time reports, calls and texts.
Before: Tickets get handled in the order they arrived, and the urgent one waits behind three easy ones.
With it: Requests sorted by severity and response-time status, with the one about to miss its deadline at the top.
MANAGED BY THE PLATFORM
Accountant
Keeps the books reconciled, works receivables and prepares for tax time.
On its own: Prepares every change and waits for a person to confirm it. That is as far as this role goes.
Will not touch: It cannot edit your website, send a marketing campaign or change anyone's HR record. It works in invoices, payments, client credits and books settings.
Before: Old "outstanding" invoices get written off by age, including ones that were actually paid by check.
With it: It walks each open invoice with you and marks it paid, written off or still collectible, with the tax treatment for your cash or accrual basis.
Works in Books, which comes with Suite.
MANAGED BY THE PLATFORM
HR
Keeps policies current, runs onboarding and tracks compliance. Approvals stay with people.
On its own: Prepares every change and waits for a person to confirm it. That is as far as this role goes.
Will not touch: It has no invoice or payment tools, cannot contact your customers or edit your website, and cannot approve a policy on its own authority.
Before: A policy change lives in someone's inbox, and nobody is sure which version is in force.
With it: A drafted amendment, routed to the people who can approve it, with an audit trail of who signed and when.
Works in HR, which comes with Suite.
