This tutorial walks through exactly how to set up a workflow in Accelimate AI, from a blank canvas to a running process.

No prior automation experience is required. You do need an active Accelimate AI account and a clear idea of one repetitive task you want to hand off to the platform.

Before You Build: Decide What the Workflow Will Do

A workflow automates a sequence of steps. Before opening the builder, write those steps down in plain language. A simple example: someone submits a contact form, Accelimate AI creates a record in your CRM, and then sends a confirmation email to the contact. Three steps, one clear outcome.

Good candidates for a first workflow share a few traits:

  • The process has a defined starting point, a trigger you can name precisely
  • The steps are the same every time, with little judgment required
  • It runs often enough that automating it saves real time
  • A mistake is recoverable, so low stakes if something needs adjustment

If your chosen process involves conditions ("if the contact is a returning customer, do X; otherwise do Y"), that is still manageable for a first build. Just map out both branches before you start.

How to Set Up a Workflow in Accelimate AI: Step by Step

Step 1: Open the Workflow Builder

Log in to Accelimate AI and navigate to the Workflows section in the left sidebar. Click New Workflow. The builder opens to a blank canvas with a single placeholder node labeled "Start Here."

Give the workflow a descriptive name before doing anything else. "Contact Form Automation" is more useful six months from now than "Workflow 1."

Step 2: Set the Trigger

Every workflow needs a trigger, the event that kicks it off. Click the Start node to open the trigger configuration panel on the right side of the screen.

Accelimate AI offers several trigger types:

  • Form submission: fires when a form built inside the platform is completed
  • Schedule: runs the workflow at a time you define, daily or weekly or on a custom interval
  • Webhook: receives data from an external tool that sends a signal to a unique URL
  • Record event: triggers when a contact, deal, or task is created or updated
  • Manual: useful for testing; you fire it yourself from inside the platform

For a first workflow, start with either a form submission or a manual trigger. Both are straightforward to test without waiting for real incoming data.

Select your trigger type, configure any required fields (for a form trigger, choose which form), and click Save Trigger.

Step 3: Add Your First Action

Click the plus icon below the trigger node to add an action. A panel opens with categories of available actions: create or update a record, send a message, call an external service, wait for a condition, and more.

For a contact form example, choose Create Contact under the CRM category. Map the fields from your trigger data to the contact fields. If the form collected a first name, last name, and email address, drag those values into the corresponding contact fields.

Field mapping is where new users sometimes slow down. Accelimate AI uses a token system: each piece of data from the trigger appears as a named token you can insert into any field downstream. Click inside a field and type a curly brace to see available tokens from earlier in the workflow.

Step 4: Add More Steps

Continue adding actions the same way. Each new step can reference data from the trigger or from any earlier step. In the contact form example, a second action might send a confirmation email. Choose Send Email, set the "To" field to the email token from your form data, write a subject line, and compose the message body.

If the workflow needs a conditional branch, click the plus icon and choose Condition. Define the rule ("if the contact's source field equals 'Returning Customer'"), and the builder creates two branches you configure independently.

Step 5: Test the Workflow

Before activating the workflow, run a test. If you used a manual trigger, click Run Test at the top of the canvas. Accelimate AI steps through the workflow and shows a result panel for each node: green for success, red for an error with a plain-language explanation.

For triggers that depend on incoming data (a form submission or a webhook), use the Test with Sample Data option to supply a mock payload. This lets you verify field mapping without waiting for a real event.

Check each step's output carefully. Confirm the contact record was created with the right values. Confirm the email would go to the right address with the right content.

Step 6: Activate the Workflow

When testing passes, click Activate in the top right corner. The workflow status changes from Draft to Active. From this point, every qualifying trigger event will run the workflow automatically.

Accelimate AI logs each run in the workflow's history panel. Open it any time to see which runs succeeded, which encountered errors, and what data passed through each step. This is the right place to go when something behaves unexpectedly.

Common Problems and How to Fix Them

A required field is missing data

This usually means a token is pointing to a field the trigger did not collect. Go back to the trigger configuration and confirm the field is included. If it is optional on the form, add a default value in the action step so the workflow does not fail when the field is blank.

The workflow runs but the action does not complete

Check the run history for the specific error message on the failed step. A "permission denied" error often means the connected account needs to be re-authorized. An "invalid field value" error usually points to a type mismatch, a number token going into a date field, for example.

The workflow activates but does not fire

Confirm the trigger is correctly configured and that the event you expect actually matches the trigger type. A form submission trigger will not fire if the form is submitted through a third-party tool rather than Accelimate AI's own form builder. In that case, switch to a webhook trigger and point the external tool to the webhook URL the platform generates.

After Your First Workflow Is Running

A single working workflow creates a useful pattern to repeat. Once you are comfortable with triggers, actions, and field mapping, the logical next step is adding complexity to existing workflows rather than building new ones from scratch. A follow-up email sent three days after the first, a task created for a team member, or a Slack notification when a deal reaches a certain stage are all additions that follow the same logic you just learned.
